Create a project

A project groups the forms, the field team and the collected data for one operation.

Create the project

Open Projects and choose New project. The Create Project dialog asks for:

  • Project name — required.
  • Description — a short note for your team.
  • Visibility — Private, Internal or Public (see below).
  • Timezone — free text, UTC by default.
  • Geographic scope — the collecting countries and the active regions. Pre-filled from your workspace defaults (Chad and N'Djamena out of the box) and editable. Leaving the regions empty means the project covers all regions of the selected countries.
  • Allow anonymous submissions — off by default. Generating a public collection link for the project turns this flag on; disabling the link turns it off.

Choose Create project to finish.

Project visibility

Visibility decides who can open the project:

Visibility Who can access
Private Only project members can access it. Recommended for sensitive data.
Internal Visible to all members of the workspace (your organisation).
Public Anyone with the link can view the project and its forms.

The dialog pre-fills Private unless your organisation changed the default in Organisation settings.

Add your team

Open the project and go to Members & Roles. The Transfer Members button opens the Transfer Members & Define Hierarchy dialog, where you set, for each person:

  • 1. Assigned project role — Surveyor (Field Collector), Validator (Supervisor), Analyst or Guest (Read-only).
  • 2. Direct Manager (Reports To) — an optional supervisor inside the project.
  • 3. Geographic Scope & Regions — the countries and regions this member covers. Empty means all countries and regions of the project.

People must belong to the workspace before joining a project: add them to the workspace team first, then transfer them into the project.

Project role What they do
Surveyor (Field Collector) Collects field data.
Validator (Supervisor) Validates field submissions.
Analyst Views and analyses data.
Guest (Read-only) Reads data, no write access.

Regions are not just labels: region-targeted forms are served only to members assigned to those regions, and a member's assignment is used to record the region on their submissions when the form does not ask for it.

Tip

Workspace roles and project roles are separate: admin, manager and member run the organisation; analyst, surveyor, validator and guest apply to one project.
