Organisation settings

Workspace-level configuration: members, invitations, documents and the defaults applied to new projects.

Workspace settings

Workspace settings live under Settings, in four tabs: General, Invitations, Collect & Regions and Security. Two of the nine options are reserved to the owner; the others can also be changed by admins and managers.

Setting Default What it does
Anonymous collection Off Allows anonymous submissions in mobile collection. Owner only.
Default project visibility Private Visibility applied to newly created projects.
Invitation expiry 7 days How long a workspace email invitation stays valid (7, 30 or 90 days).
Invitation link expiry 30 days Default lifetime of the project invitation links you generate (7, 30 or 90 days, or never).
Max document size (MB) 50 Maximum upload size for workspace documents (1 to 500 MB).
Default project countries TD Countries pre-selected when creating a project (TD = Chad).
Default project regions NDJ Regions pre-selected when creating a project; none selected means all the regions of the selected countries (NDJ = N’Djamena).
Region fail-closed On When a submission carries no matching region, reject it (strict) instead of accepting it (permissive).
Privileged role assignment Owner only Who can assign the workspace Admin and Manager roles: the owner alone, or the owner and admins.

Changes are validated: an unknown option, a wrong type or an out-of-range value is rejected.

Members and invitations

Membership is managed from Settings, on a screen with several tabs: members, sent invitations, approvals, project assignments and documents.

  • Invite by email and pick a workspace role — admin, manager or member. Project roles are granted inside each project.
  • Invitations expire: 7 days by default, or the lifetime chosen for each invitation (7, 30 or 90 days).
  • A sent invitation can be resent, revoked or restored; an expired invitation can be deleted for good.
  • People who ask to join appear as pending requests; approving one creates the membership with the role you choose.
  • Removing a member revokes access but keeps the record; the member can be restored, with their project assignments.

See: Roles and permissions

Workspace documents

Settings → Workspace documents keeps the contracts, permits, registrations and charters that belong to the workspace. Upload a file and label it; replacing a document adds a new version and keeps the previous one. Uploads respect the Max document size setting.

Documents are managed by the workspace owner, admins and managers.

Transfer ownership

The owner can hand the workspace to another accepted member from the Membership screen. The new owner receives the admin role, and the transfer takes effect immediately.

Organisations

A workspace can be attached to an organisation, an institution-level structure that gives it its branding.

  • Apply: the organisation registration is a three-step wizard — identity (name and sector), team (size and slug) and documents for verification.
  • Track: the request status is visible while it is reviewed, and your organisations are listed under Settings → My Organizations.
  • Review: the Zottle team approves or rejects the application.
  • Once approved, the organisation theme colours can be applied to its workspaces from the Org. Branding section.
